Databuoy is seeking an Event Associate for our Deployment Team. Duties and Responsibilities
This Event Associate will encompass a broad swath of activities that include but not limited to:
Responsibilities:
- Schedule trade shows/expos and serve as point of contact including handling of records.
- Travel for conferences/expos and deployments. Up to 50-60% Travel.
- Manage event rental policies and contract terms, including Registrations, Certificates of Insurance, Registration Leads, Electrical, Carpeting and Furniture.
- Set up Databuoy’s audiovisual equipment (booths and tables, televisions, computers, projectors, screens).
- Monitors day-to-day operations of IT equipment and systems.
- Set up and tear down displays and booths. Must have full understanding of digital equipment for display.
- Communicate with clients and vendors regarding their events, including answering questions, and conducting walk-throughs.
- Update, manage, and modify event details on the company’s site.
- Work onsite during events as a team member providing direction and confidently troubleshooting any unanticipated issues that arise throughout the duration of the event.
- Take photographs of event setups for the media and marketing team.
- Assist with managing the Databuoy office handling deliveries / pickups (both for events and others onsite)
- Copies and collates packets of materials/information for deployments and meetings.
- Assist with installation partners and on-site customer teams.
- Assist on-site activities to include surveying, photography, and documenting.
- Proficient in Google Docs, Google Earth, and Microsoft Office Suite products.
- Responsible for requisitioning, receiving, issuing, and maintaining the accountability of supplies.
- Conduct inventories; assist in updating property records; requisition for supplies; inspect incoming shipments; and report discrepancies.
Minimum Qualifications

- Professional verbal and written communication skills
- Work respectively and productively with diverse clients and vendors
- Be willing to work a flexible schedule with 50-60% travel.
- Proficient in Google Docs and MS Office software with a proven ability to quickly learn unfamiliar technology, both software and audiovisual equipment. This individual is expected to become comfortable with Databuoy’s audiovisual equipment quickly.
- While the position will be primarily sedentary, it will on occasion require the ability to safely lift heavy bags, boxes, tables, and chairs as well as to move furniture.
Preferred
- 2+ years of experience in customer service or hospitality in a client-facing role.
- Degree in Information Technology or Computer Programming.
- Ability to work with limited supervision in a team environment.
- Demonstrable ability to provide superior customer service to event organizers and vendors.
- Be flexible, patient, able to creatively solve problems, and have a good sense of humor.
